ChemCloud Exercises: Supply Chain & Operations

Purpose: Hands-on walkthrough of core ChemCloud workflows for Supply Chain and Operations teams, covering order management, delivery tracking, COA handling, and AI-powered logistics workflows.

What We Want to Get Out of This

  1. Show how an end-to-end workflow works — from order placement through delivery tracking, COA analysis, and supplier feedback
  2. Demonstrate the capability of AI — see how ChemCloud’s AI agents process order updates, analyse COAs, and flag issues
  3. Feel how an AI agent can be like an additional member of the team — delegate tasks, ask questions, and let it handle the manual work

Before You Start

  • Log in to the ChemCloud demo environment
  • Have some order confirmations, shipping notifications, or COAs to hand (PDF or email)
  • Keyboard shortcut to remember: Cmd+K (Mac) or Ctrl+K (Windows) opens the AI search/chat anywhere in the app

Exercise 1: Place an Order and Track a Delivery (~15 mins)

Objective: Place an order for an approved material and track it through to delivery.

Place an Order

Find a product with approved materials and place an order. Complete the purchase steps:a. Check the volume is correct b. Review the terms c. Add the required-by date and comment d. Review the automations on the final page

Track the Delivery

Go to the delivery and update its status through the stages. Add tracking information where available.

Use the Quick Actions

Go to the In Progress Deliveries page. Click the three dots on the right side of a row to quickly update the delivery status.

Try the AI

Open the AI Chat (Cmd+K) from the search bar in top navigation and ask about your order. Try asking about the delivery status, expected arrival, or what other orders are currently in transit.
Expected Outcome: Order placed and delivery tracked through its stages.

Exercise 2: Send an Order Update via Email (~5 mins)

Objective: Forward an order confirmation or shipping notification to ChemCloud’s AI agent and see how it updates the system automatically.

Find Your Email Address

Navigate to ChemCloud AI → Email Inbox to find your ChemCloud email integration address.

Forward an Order Update

Forward an order confirmation or shipping notification email to your ChemCloud email address. The AI agent will automatically extract order details, delivery dates, and tracking information.

Check the Results

Check back in ChemCloud to see how it was processed. Did it match the right order? Were the delivery details accurate?

Try the AI

Ask the AI about the order you just updated via email. Try asking it to summarise the current status or flag if the delivery date has changed from what was originally expected.
Expected Outcome: Order automatically updated with delivery details extracted from the email.

Exercise 3: Upload a COA on Delivery (~10 mins)

Objective: Simulate receiving a delivery and upload a Certificate of Analysis. See how the AI processes it.

Find a Delivery

Go to a delivery that’s been marked as received (or update one to received status).

Upload the COA

Upload a Certificate of Analysis against the delivery — either by uploading the file directly or by forwarding it to the ChemCloud email address.

Check AI Processing

See how the AI processes the COA. Does it detect the document type correctly? Does it extract the key parameters?

Try the AI

Ask the AI to check the COA against the product’s internal specification. Does it flag anything out of spec? Try asking about borderline results or parameters close to limits.
Expected Outcome: COA uploaded and analysed by the AI against the product’s internal specification.

Exercise 4: Track Multiple Deliveries and Flag Issues (~15 mins)

Objective: Set up multiple orders at different stages and use the AI to get an overview of what needs attention.

Set Up Different Stages

Make sure you have a few orders at different stages — one awaiting dispatch, one in transit, one delivered.

Simulate a Problem

Try to simulate an issue — a late delivery, a missing COA, or a delivery with an out-of-spec COA.

Try the AI

Ask the AI:
  • Which deliveries are overdue or at risk?
  • Are there any deliveries missing COAs?
  • What should I action first today?
  • Try asking about a delivery that doesn’t exist.
Expected Outcome: Clear overview of delivery status with AI-flagged issues and priorities.

Exercise 5: Send Feedback to a Supplier (~10 mins)

Objective: After receiving a delivery, use ChemCloud to send feedback to the supplier — whether it’s a quality issue, a late delivery, or positive feedback.

Find a Completed Delivery

Go to a delivery that has been received with a COA uploaded.

Send Feedback

Use the feedback workflow to send a note to the supplier about the delivery.

Try the AI

Ask the AI to draft feedback based on the delivery data. Try asking it to summarise the delivery performance for a particular supplier across multiple orders.
Expected Outcome: Supplier feedback sent based on delivery and COA data.

Exercise 6: Open-Ended AI Exploration (~10 mins)

Objective: Just play around. Ask the AI whatever questions come to mind about your orders and supply chain data.

Are there any orders with missing documentation?

Lead Times

What’s the average lead time for a particular material?

Try to Break It

Ask something the system definitely shouldn’t know. See if it admits uncertainty or confidently gives a wrong answer. Screenshot it if so!
