# Customise Tables

> Control what every table shows — columns, filters, sorting, row height — and save it as a view

Customise tables in ChemCloud - which columns, in what order, filtered how, sorted how, at what row height - and save that setup as a **view** so you (or your whole team) can come back to it in one click.

**Saved Views:** The tabs above the table settings. These tabs are able to be saved and arranged by the user.

**Table Settings:** The controls sit in a row above the table: **Search** · **Filters** · **Sort** · **Columns** · **Size** · **Export** · **Reset**

<Info>
  **Applies to:** Orders, Shipments, Sourcing Requests, Products, Product Watchlist, Document Register, Approved Materials, NCRs.
</Info>

## Saved Views

A saved view captures the whole state of the table: **filters, sorting, which columns show and in what order, column widths, row size, and how many columns are frozen**.

Views are per-table — your Orders views are separate from your Shipments views.

### The tab strip

Your views appear as tabs across the top of the table. Each tab shows a **count** with the number of rows in that view.

* **+** — creates a new view
* **All Views** — opens the full list of views on the right

### Fixed views vs your own views

Every table ships with **fixed views** — on Orders these are *In Progress Deliveries*, *Delivered* and *Open Blanket Orders*. Their filters are preset and can't be removed, but you can still save your own **layout** on them (columns, widths, order, row size, frozen columns). If you change the layout and want to save it, click the **Create New View** button.

Filters that come from a fixed view or a view's baseline show as a chip so you can see them, but they have no **×** — they aren't removable.

### Personal vs shared views

When you create or edit a view there's a **Share with team** toggle.

| Toggle  | Who sees it                                                                                        |
| ------- | -------------------------------------------------------------------------------------------------- |
| **Off** | Just you. A personal view.                                                                         |
| **On** | *"All members of your company will see this tab"* — the view appears for everyone on your account. |

In the **All Views** panel, shared views carry a small **people icon** next to the name. Views without the icon are personal to you. Only Admins can create a shared view.

<Note>
  A teammate's shared view can't be reordered by you — it stays pinned to the bottom of your list.
</Note>

### Creating a view

<Steps>
  <Step title="Set the table up or 'Add View'">
    Set the table up how you want it — filters, sort, columns, row size and 'Save as New\...'

    Or simply 'Create new view' from the + button in the tabs.
  </Step>

  <Step title="Name it">
    In the **Create New View** button, give it a **View name** (e.g. *Overdue Sydney Orders*).
  </Step>

  <Step title="Choose who sees it">
    Turn **Share with team** on if the whole team should see it.
  </Step>

  <Step title="Create">
    Click **Create**. A new tab for this saved view now appears.
  </Step>
</Steps>

### Changing a view

Views **do not autosave**. When you change something, a prompt appears above the table allowing you to Save the view, or Save as New.

To rename a view or change its sharing, click the **pencil** icon on the view's row in the **All Views** panel. This opens **Edit Current View**.

### Reordering and removing views

Drag the **grip handle** on the left of any view row in the **All Views** panel to reorder it. The order saves automatically and survives a page reload. (Shared views created by teammates have no grip.)

Deleting a view asks you to confirm first.

### Reset

**Reset** in the toolbar clears your filters and layout and returns you to the view's clean, default state.

<Tip>
  If you have a saved default layout, the "Save Layout" prompt may reappear straight after a Reset. That's the table comparing against *your saved layout*, not a bug.
</Tip>

## Columns

Click **Columns** in the toolbar to open the columns panel. The panel header shows how many are currently hidden.

### Show and hide columns

Tick or untick any column to show or hide it. **Show all** and **Hide all** are at the top of the panel.

Hiding a column doesn't move it — it stays in position in the list, just unticked.

Each table has a sensible default set. On **In Progress Deliveries**, for example, the defaults are Delivery ID, Product, Volume, Packs and Site, with the rest available to switch on.

<Note>
  The columns panel lists every column used anywhere on that table, so some tabs will have columns in the list that don't apply to them.
</Note>

### Reordering

Drag the **grip handle** to the left of a column name to move it. Clicking the column *name* toggles it on or off; the handle is only for dragging.

### Resizing

Drag the **divider line** in any column header. The line turns blue and thickens when you hover it.

Resizing one column doesn't squeeze the others — the table grows to the right into horizontal scroll instead. Minimum column width is 80px.

<Note>
  While the table is still narrower than your screen, columns share the leftover space and your exact widths won't bind until the table is wider than the screen.
</Note>

### Freezing columns

The first column is frozen by default, so it stays put when you scroll sideways. A light **freeze line** marks the boundary.

Drag the line left or right to change how many columns are frozen — it snaps to column boundaries, up to four. Hovering shows a blue drag pill and the tooltip *"Drag to adjust the number of frozen columns"*.

The freeze line starts below the header row, so you can still resize and reorder headers freely.

## Filters

Filters appear as selectors in a row below the toolbar — one chip per field.

The toolbar **Filters** button shows and hides that row and carries a blue badge counting how many filters are active.

### Using a filter

Click a filter to open its menu. Each menu has:

* A **search box** for finding options quickly
* A tick list of values — select as many as you like
* **Clear** in the header and **Clear All** in the footer

Filters apply **instantly** — there's no Apply button, and the menu stays open so you can keep ticking.

An active chip turns blue with a count badge. All the values you've picked for a field appear in **one chip**, comma separated — for example *Order Status: Order placed, Order confirmed, Delivered*. Clicking the chip's **×** clears that whole field in one go.

### Which chips you see

Each page shows its three most-used filters as chips, with the rest behind **More Filters**.

**More Filters** is a visibility panel — tick a field to pin its chip to the row, untick to hide it. It has **Clear all** and **Show all**.

Two rules worth knowing:

* Any filter that's currently active always shows its chip, even if you'd hidden it. An active filter never hides.
* Unticking a filter that has values selected **clears** it. Nothing filters invisibly.

Your chip visibility choices are remembered for your session but aren't saved into a view.

### Filters on fixed views

Filters that come with a fixed view are shown as plain text chips — visible, but with no **×**. As soon as you change something, they become removable.

## Search

The search box sits at the left of the toolbar. It searches as you type — no need to press Enter. The placeholder tells you what you're searching (*Search orders…*, *Search shipments…*), and hovering the box shows which fields are covered.

## Multi-Sort

Click **Sort** in the toolbar to open the **Sort rules** panel. The button turns blue and shows a count when sorting is active.

You can sort by more than one field at once — sorting on three fields and saving that as a view is a supported workflow.

### Adding a sort

<Steps>
  <Step title="Open the sort panel">
    Click **Sort**.
  </Step>

  <Step title="Add a rule">
    Click **+ Add sort rule**.
  </Step>

  <Step title="Choose field and direction">
    Choose the field and the direction — **A-Z** or **Z-A**.
  </Step>
</Steps>

Each rule appears as a row in the panel showing the field and its direction, e.g. *Required by · A-Z*.

Rules apply in the order they're listed: the first rule sorts the table, the second breaks ties within the first, and so on.

You can also sort by clicking a column header. Sort rules save into a view along with everything else. Clicking outside the panel closes it.

<Note>
  **Empty values:** descending sorts put blank values first. This matches how the database orders them.
</Note>

## Export

Click **Export** in the toolbar to download the table as a **CSV**.

* Exports **every row that matches your current filters and search** — not just the page you're looking at. Pagination doesn't limit the export.
* You'll get a success message once the file is on its way.
* The file downloads to wherever your browser saves downloads.

Export sits on the table toolbar rather than in a page-level menu, because it needs to see the table's current filter and column state to export the right rows.

<Note>
  Export is currently available on Orders. Rolling it out to the other tables is a planned follow-up.
</Note>

## Row size

**Size** sets row height. Three options:

| Option                 | Best for                                                                                                      |
| ---------------------- | ------------------------------------------------------------------------------------------------------------- |
| **Compact** | Scanning a lot of rows at once — around 20 rows on a laptop screen. Secondary text under each cell is hidden. |
| **Medium** *(default)* | Everyday use.                                                                                                 |
| **Comfortable** | Larger text and wrapped content. |

Row size saves into your view.
